Why should one personalize each email?

(Gets their attention so they know it's not spam)

Are your emails being sent to the trash can without even being opened? Or being deleted after just a single glance? Have you ever thought of the reason behind it? Just forget for a while that you are a business owner. Imagine yourself as a regular reader. Now what if you get an email from some company that is full of technical terms and written in a very general and boring fashion. It neither addresses you nor is appealing to read. Would you even bother to continue reading? NO. You’ll simply delete them. This is what your readers may be doing.

It is human nature that one gets interested in something that is addressed towards him/her. People get a feeling of unknown satisfaction when they hear or read their name. The first and most important rule to get your emails read is to personalize them. Put the name of the receiver in the addressing sections. Even if you are sending out your emails to a large number or recipients, you can use software’s that store the email addresses along with the name of the receiver. These software’s make the process of emailing almost automatic and the reader gets a feeling of getting undivided attention from the company. These softwares make the emails look as if they are sent directly from a person to you.

Secondly use a user friendly way of communication. The readers often feel stiffed if you use extremely difficult words of English. They are not concerned by your grasp over the language. They are interested in what you are offering them. Use easy to understand English. Write your email in a manner as if conversing with a friend over a cup of tea. Put passion in your message. Make the user feel as if they are of individual attention to you. Even if you are mailing over to a large number of recipients, keep your tone as if you are addressing an individual. Each of the thousand readers would feel equally important. Make it look as if the message is written exclusively for them. Use the terms of “you” and “your” extensively. Emphasize on the “You” attitude.

Try to use small sentences. This makes the message easier to understand for the user. Also make it a practice to use as many subheadings as possible. This way it gets easier for the user to grasp the meaning of your message. Choose subheadings that are complete message in themselves. Also try to add a few graphic attachments in your message. The graphics must be related to your message.
